Automated Payroll Programs

A payroll software program can be extremely valuable for any company mid-sized and larger. For any company with greater than even five employees, tracking the accrual of hours or business related services manually can quickly become an arduous task. This can be an extremely time consuming process that sometimes, like in the case of a business chain with a central payroll office for instance, can be almost impossible.

A payroll program can also automatically calculate taxes or benefits deductions, print up checks or work with an automatic check depositing system, and also even generate tax forms for employees. All of this can be run automatically with a supervising manager doing no more than overseeing the process to double-check for any potential errors. Payroll and attendance tracking as a software program provides all the benefits of any other program in that it organizes and automates many of the manual tasks involved which will save a considerable amount of time, money, and unnecessary hassle.

Human resources software with third party payroll options

The human resources programs that do not offer an integrated payroll option will usually provide some form of third party payroll system. These third party programs will interface with the human resource package your company installs. However, unless there are some exclusivity issues for choosing a program with no payroll option bundled, there are many human resources programs available that do contain the payroll option.

Interface human resource software with current payroll program

If your company already possesses a payroll program and is in the market for a human resources software program, one important concern is compatibility. Be sure that, if you are hanging on to the payroll program currently in use, it will work with any new programs involved in the human resources management market. There are plenty of interfaces available for that. Though retaining the current payroll program might be simplest in the short term, in the long run it might be more beneficial to switch over to an integrated program.

Even though there will be the issue of learning the new program, your company will not have to worry about compatibility issues or interfaces. Even if the payroll program your company is currently using is compatible with the Human Resources software with which it intends to interface, an interface is only a link between two programs. For the sake of simplicity and ensuring there are no potential interface issues, it would be better to use one master program that is fully integrated to reach maximum potential for the efficiency of each department.

Integration over interface

Many of the more successful human resources software programs today offer the payroll program bundled within the system as one of the many options. This is beneficial for the purposes of integration. Integration of the programs will ensure that there are no compatibility issues between different departments dealing with payroll. The payroll program that is integrated within the human resources program will also circumvent the process of interfacing.

Integration is a little better than interfacing in that there is at least one process eliminated. When two programs are integrated via an interface there is a transfer of data, most likely between payroll and human resources, which has to be done. This can be done manually or in an automated process that must be set up. With a truly integrated program, there is no setup and there is no data transfer as all programs operate under the same system.

Time tracking and attendance

Time tracking and attendance is virtually synonymous with payroll. A time tracking or attendance tracking program is the specific program that does the tracking for all the hours worked, or services rendered. Additionally this program can be used to provide increases based on specific restricting criteria such as seniority. If the payroll and time tracking program is used in integrated human resources management software, there are limitless automated instances which can be implemented to increase the range of criteria to include training classes completed or evaluations successfully completed.

Inputting the hours or services of employees can be as simple as having an employee sign or scan into and out of the system. There can also be some form of tracking system interfaced with the tracking system such as in the instance of a time clock.

Virtually every business can benefit from the utilization of an automated payroll program such as is presented through a software payroll system. More specifically, most companies would do well to use a software program that is fully compatible with other programs companywide or, even better, fully integrated.

By investing into a human resources software program with a fully integrated payroll subprogram, a company can maximize and fully realize the potential and effectiveness of all of its various aspects.
